The purpose of this role is to provide a point of contact for non-pastoral membership and congregational needs, support for pastors, ministries, and committees at Riverview United Methodist Church-Huron, South Dakota
The Church Office Manager must:
Have a caring attitude, excellent people skills, courtesy and friendliness, a team player, and high integrity
Have a desire and passion for the mission and vision of the church
Be adaptable, accessible, responsive, dependable, and flexible to handle the changing needs of the church
Have clerical, communications, computer, and administrative skills
Knowledge of Riverview United Methodist Church (preferred)
Be cost-consciousness
Because of the nature of this role, this person must have appropriate experience and must be able to properly handle confidential information carefully and securely.
The list of responsibilities includes (but is not limited to) :
Maintain a scheduled presence in the office during the weekdays to assist walk-in traffic. Normal office hours will be 8:30 am-3:00 pm (with a ½ hr. lunch break) Monday through Friday.
Clerical, administrative, and logistics support for the pastors
Communication of any building issues or security issues to the Trustees
Scheduling, communicating, and coordinating logistics for church affairs with church staff and ministry leaders
Communications, follow-up, and responses for church mail, email, voicemail, etc. regarding staff involvement. Develop and distribute weekly announcements via email and small monthly mailing
Coordination of use of property, and scheduling of special events. Maintained church schedule/calendar and content for announcements. Manage building use agreements and schedules
Prepare and code bills and invoices for all church expenses. Gain approval from the Pastor and forward the required documentation to the church's Financial Operations Officer for payments. Review checks written, mail payments, and file invoices. Prepare deposits from money counters preparation and document individual’s giving. Prepare and mail quarterly giving statements
Keep church records such as but not limited to birth, and death records, new members, church attendance, committee membership, etc., current monthly
Maintain office supplies and materials, and order supplies for all groups within the church as requested by those groups according to policy and procedures.
Maintain a sign-up platform for groups and activities
Assist in the necessary communications of the church as directed by the pastor and committees
Complete conference reports yearly or as needed, as well as other reports due to the State of South Dakota and Beadle County, such as Secretary of State and non-profit sales tax status reports.
